Privacy Policy
Effective date: August 11, 2026
Office Dynamics International (“Office Dynamics,” “we,” “us,” or “our”) respects the privacy of every visitor to its website. Your privacy is a priority, and we go to great lengths to protect it. This Privacy Policy (the “Policy”) explains our online information practices. Use of this site is governed by the Terms of Use provided for this site and the policies, terms, and conditions set forth below. Please read them carefully.
This Policy may be changed or updated from time to time. We will post the updated effective date at the top of this page whenever we make a change. Your continued use of this site and/or placement of an order with Office Dynamics after a change is posted indicates your acceptance of the revised Policy.
Data Collection
We collect information from you when you register on our websites (OfficeDynamics.com and OfficeDynamicsConference.com), place an order, subscribe to our newsletter, or correspond with any staff member using an @officedynamics.com email address with a request to be added to our communications. When ordering or registering on our site, as appropriate, you may be asked to enter, among other things, your name, email address, mailing address, phone number, and credit card information. You may also visit our site anonymously.
If you attend our conference in person or virtually, we may also collect information related to your registration and participation, such as dietary restrictions, accessibility or accommodation requests, session attendance, and, where applicable, photographs, video, or audio recordings taken at the event or during live-stream sessions. We treat accommodation and accessibility information as sensitive and only use it to provide the requested accommodation.
How Office Dynamics Uses Your Information
If you provide Office Dynamics with personal information when you visit our website, we may use that information in our programs and activities. Your information allows us to personalize your experience, improve our website, improve our customer service, process transactions, administer a contest, promotion, survey, or other site feature, and send periodic emails. We may enter your name into one of our databases so we can contact you to obtain your input or provide information about our programs and events.
On occasion, Office Dynamics may share information about you with vendors and service providers who assist us with our activities and programs. These vendors and service providers help us with functions such as processing payments, sending email communications, and hosting our live-stream events. We also make disclosures as required by law.
Office Dynamics does not sell your personal information to third parties, and we do not share your information with third parties for their own independent marketing purposes.

Categories of Service Providers
To operate our website and events, we work with third-party service providers in the following categories:
- Payment processors, to handle credit card and online payment transactions
- Email and marketing platforms, to send newsletters, event communications, and manage customer relationships
- Live-stream and virtual event platforms, to deliver our live-stream conference sessions
- Analytics providers (where used on our site), to help us understand site usage and improve the visitor experience
These providers only receive the information necessary to perform their function and are not permitted to use your data for their own marketing purposes.
Data Retention
We retain registration, payment, and communication information for as long as needed to support our ongoing relationship with you, including future event registration, customer service, and legal or accounting requirements. As a general guideline, we do not retain personal information for longer than seven (7) years after your last interaction with us, unless a longer period is required or permitted by law (for example, tax and accounting records). If you would like your information reviewed, updated, or deleted, you may contact us using the information in the “Reviewing and Correcting the Information” section below.
Protecting Information
The Office Dynamics websites are equipped with security measures to protect against the loss, misuse, and unauthorized alteration of the information under our control. However, we cannot guarantee that information will never be lost or misused. We make every effort to keep it secured and to avoid such problems.
How We Use Cookies
We use cookies and similar technologies (such as web beacons and pixels) to enhance your online experience. A cookie can be either permanent (it remains on your computer until you delete it) or temporary (it lasts only until you close your browser). Cookies help us recognize repeat visitors, support your ongoing access to and use of the websites, and track usage behavior so we can compile aggregate data that leads to website improvements.
When you first visit our website, you will be shown a cookie notice that lets you accept all cookies, reject non-essential cookies, or manage your preferences by category (for example, essential, analytics, and marketing cookies). You can change your preferences at any time through the cookie preference link in the site footer, or by adjusting your browser settings to block or delete cookies. If you block cookies, some website functionality may not work as intended.
Your European Privacy Rights
For European Residents Only. If you are located in the EU or UK, the GDPR (or UK GDPR) gives you the following rights regarding personal data we hold about you:
- The right to be informed. You have a right to know about our personal data protection and data processing activities, details of which are contained in this notice.
- The right of access. You have the right to know exactly what information is held about you and how it is processed.
- The right to correction. Please inform us if any information we hold about you is incomplete or inaccurate in any way, and we will update our records as soon as possible.
- The right to erasure. Please notify us if you no longer wish us to hold personal data about you. Note that it is not possible to provide certain services without holding your personal data. Unless we have reasonable grounds to refuse the erasure, such as monies due for a product or service, we will securely delete the personal data upon request.
- The right to restrict processing. You may have the right to prevent or restrict processing of your personal information without requiring us to delete it.
- The right to data portability. You have the right to receive copies of the personal information we hold about you in a commonly used format. Let us know a format that suits you (.pdf, .doc, .xlsx, etc.).
- The right to object. You may, in some cases, object to us using your personal data if you feel your fundamental rights and freedoms are impacted. You may also object if we use your personal data for direct marketing purposes (including profiling) or for research or statistical purposes. Notify us of your objection and we will stop such processing unless we have overriding legitimate reasons not to.
- Rights related to automated decision-making and profiling. You have a right not to be subject to automated decision-making (including profiling) when those decisions have a legal or similarly significant effect on you, except where the processing is necessary to perform a contract with you, is permitted by law, or you have given explicit consent.
- The right to request transfer of your personal information directly to a third party, where technically possible.
Legal basis and international transfers. We process EU/UK personal data on the basis of your consent, our legitimate interests in operating our events and communications, or as necessary to perform a contract with you (such as an event registration). Because our websites and events are based in the United States, personal data collected from EU/UK residents is transferred to and processed in the U.S. Where required, we rely on appropriate safeguards, such as Standard Contractual Clauses, with our service providers to protect this transfer. Given the limited volume of EU/UK registrants we receive, we do not maintain a dedicated EU representative; all EU/UK privacy inquiries are handled directly by our Webmaster using the contact information below.
Contact for EU/UK data matters. Questions or requests regarding your GDPR/UK GDPR rights can be directed to the Webmaster using the contact information in the “Reviewing and Correcting the Information” section below.
If you believe we have not complied with our obligations under this Privacy Policy or applicable data protection laws, you have the right to lodge a complaint with your local data protection authority.
Your U.S. State Privacy Rights
For Residents of California, Nevada, and Other States with Applicable Privacy Laws. Depending on where you live, you may have rights under state privacy laws such as the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), and similar laws in other states. These rights include:
- The right to know. You may request that we disclose the categories and specific pieces of personal information we have collected about you, the sources of that information, and the purposes for collecting it. See the “Categories of Personal Information We Collect and Share” section above for a summary.
- The right to delete. You may request that we delete personal information we have collected from you, subject to certain exceptions (such as information we need to complete a transaction, comply with a legal obligation, or resolve a dispute).
- The right to correct. You may request that we correct inaccurate personal information we maintain about you.
- The right to opt out of sale or sharing. Office Dynamics does not sell or share your personal information with third parties for their own marketing purposes, so there is nothing to opt out of. If this practice ever changes, we will update this Policy and provide a clear opt-out mechanism.
- The right to limit use of sensitive personal information. Where we collect sensitive personal information, such as accessibility or accommodation details, we use it only to fulfill your request and not for any other purpose.
- The right to non-discrimination. We will not deny you goods or services, charge you different prices, or provide a different level of service because you exercised any of your privacy rights.
To exercise any of these rights, please contact us using the information in the “Reviewing and Correcting the Information” section below. We may need to verify your identity before completing your request. You may also designate an authorized agent to make a request on your behalf, subject to our ability to verify that authorization.
Reviewing and Correcting the Information
